This policy explains what we do with the information you give us — mainly through the quote form on this website. We have tried to write it in plain English rather than legal language.

Top Notch Events Limited (“we”, “us”) trades as Top Notch Events, Wood Work & Prop Shop. We are the data controller for the information described here.

What we collect

When you fill in the quote form we collect:

  • Your name and email address, and your phone number if you give it
  • What the job is for, when you need it, and whatever you write in the description
  • Any photos, sketches or files you upload

If you email us instead, we hold whatever is in that email. We do not ask for payment card details through this website, and you should never send them to us by email.

Photos you send us

Photos you upload are used to understand and price your job. If a photo you send belongs to someone else — a picture you found online, or another maker's work used as inspiration — we only use it internally as a reference. We will not publish photos you send us, or photos of your finished piece, without asking you first.

Who we share it with

We do not sell your information, and we do not use it for advertising. We share it only with the suppliers who help us run the business:

  • The service that receives our web form and passes it to our inbox
  • Our email and file storage provider
  • Our website host
  • Our accountant, and HMRC where the law requires it
  • A courier, if your piece is being delivered

Some of these providers may store data outside the UK. Where they do, they are covered by UK adequacy regulations or standard contractual clauses.

How long we keep it

  • Enquiries that don't turn into a job: up to 12 months, then deleted
  • Completed jobs: 6 years after the end of the tax year, which is how long we must keep business and tax records
  • Photos we've been given permission to publish: until you ask us to take them down

Your rights

Under UK data protection law you can ask us to:

  • Give you a copy of the information we hold about you
  • Correct anything that is wrong
  • Delete it, where we don't need to keep it for tax or legal reasons
  • Stop or limit how we use it, or object to us using it
  • Send it to you or another provider in a portable format
  • Withdraw consent, where consent is what we relied on

Cookies

This website does not set advertising or tracking cookies, and there is no analytics tracking on it. If that changes we will update this policy and ask for your consent first.

Complaints

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113.

Changes

If we change this policy we'll update the date at the top of this page.
